INDUSTRY CHECKLIST · LONG-DISTANCE MOVING COMPANIES

The long-distance mover insurance checklist

QUICK ANSWER

Long-distance moving companies usually carry commercial auto, motor truck cargo and general liability. Interstate movers operate under federal authority with tariffs, valuation rules and arbitration programs, run tractors and road trailers through many states, and are judged by complaint statistics that shippers can look up. The lender and the client's vendor desk ask for proof of each. The checklist below says what every item does, who requires it and how to check it on the policies you already have.

Who asks a long-distance mover for what

Who What they usually want to see
Banks, lenders & SBA loans Property or auto physical damage with the lender as loss payee, and liability proof at closing and every renewal
Enterprise clients & vendor onboarding General liability, professional or cyber liability, workers' compensation and often an umbrella
Cities, counties & permits General liability, auto and workers' compensation at the limits in the permit or contract

Each of them wants a certificate, and most want it again at every renewal. A live certificate link from the wallet shows today's coverage to every holder and tells them when it changes.

How to check what you already have

  1. Auto schedule. Every vehicle listed with the right garaging address and use; symbols that include hired and non-owned auto; physical damage with the lender as loss payee where the vehicle is financed.
  2. Motor truck cargo. The limit per vehicle, the commodities excluded, theft from an unattended vehicle conditions and reefer breakdown.
  3. General liability declarations page. Three liability numbers matter: each occurrence, general aggregate and the products–completed operations aggregate. Then the forms list: blanket additional insured, waiver of subrogation and primary and non-contributory wording satisfy every contract; scheduled forms satisfy one.
  4. Workers' compensation information page. Item 3.A must list every state you work in, item 4 must carry the right class codes, and the employers' liability limits should meet what contracts ask. Check that the estimated payroll is close to this year's.
  5. Umbrella schedule of underlying insurance. Each primary policy listed with the limits the umbrella expects; a gap between the two is uninsured.
  6. Equipment schedule. Owned items scheduled above the per-item threshold, a blanket limit for small tools, leased or rented equipment included, and the valuation (replacement cost or actual cash value).
  7. Bailee coverage. The limit for customers' property at your premises and in transit, the valuation basis and any exclusions for specific items.
  8. Hired and non-owned auto. Look for the symbols 8 and 9 or an endorsement by that name on the auto or general liability policy; without it, staff in their own cars are uninsured on company business.
  9. Employment practices declarations. Limit and retention, third-party coverage for claims by customers, and whether wage-and-hour claims carry any defence sublimit.

What usually goes wrong for long-distance moving companies

  • Full-value protection sold on the estimate and no cargo policy sized to pay it.
  • Interline and agent arrangements where nobody is sure whose policy covers the shipment in transit.
  • A radius or commodity on the application that no longer matches the work.
  • Trailer interchange and non-owned trailers left off the policy.
  • Reefer breakdown, theft and unattended-vehicle conditions in the cargo form that the dispatcher never saw.
  • A personal auto policy on a truck with the company name on the door.

What underwriters will ask a long-distance mover

  • Authority and van-line affiliation, valuation sold, truck and trailer schedule, and storage-in-transit warehouse space
  • Gross vehicle weights, radius of operation and commodities hauled
  • Driver motor vehicle records, years of experience and turnover
  • Any state or federal filings and operating authority
  • Commodities hauled, their value per load and any refrigerated freight
  • Each vehicle, its garaging address, radius and who drives it

Renewal timing

Audits at year end compare payroll, receipts and subcontractor costs with the estimate, so keep the wallet's size figures and the subcontractor certificates current. Start comparing sixty days before expiration, and ask for the limits the next contract will need rather than the ones the last one did.

Questions people actually ask

What is full-value protection and who insures it?

The valuation level that makes the mover responsible for repair or replacement rather than cents per pound. The mover's cargo policy backs it, so the limit per shipment has to match what is being sold on the estimate.

We are an agent for a van line. Whose insurance applies?

The agency agreement decides: usually the van line's cargo and liability while a shipment is under its registration, and the agent's own policies for local work, warehouse storage and the agent's own trucks. Read it; the storage warehouse is where the gap usually sits.

Why do trucking quotes vary so much between carriers?

Driver records, radius, commodity, years in business and loss history move the price more than the vehicle does, and each carrier weighs them differently. CoverMatch lines the quotes up against the coverage requested so the cheaper one is not the one missing a filing.

What does motor truck cargo not cover?

Read the exclusions: many forms exclude certain commodities, cap theft from an unattended vehicle, and pay spoilage only with a reefer breakdown endorsement. The policy explainer in the wallet lists the exclusions in plain English.

Can I keep my work truck on my personal auto policy?

Usually not once the truck is titled to the business, carries tools or a logo, or is driven by employees. Personal policies exclude business use beyond commuting, and a denied claim after an accident is an expensive way to find that out. The state auto minimums on the state pages are floors; contracts ask for more.
