INDUSTRY CHECKLIST · MEDICAL COURIERS

The medical courier insurance checklist

QUICK ANSWER

Medical couriers usually carry commercial auto, hired & non-owned auto and general liability. Medical couriers move specimens, pharmaceuticals and records between labs, hospitals and pharmacies under temperature and chain-of-custody rules, often with drivers in their own cars, and sign agreements that treat them as covered entities' vendors. The client's vendor desk and the funder ask for proof of each. The checklist below says what every item does, who requires it and how to check it on the policies you already have.

Who asks a medical courier for what

Who What they usually want to see
Enterprise clients & vendor onboarding General liability, professional or cyber liability, workers' compensation and often an umbrella
Grant funders & government contracts General liability, professional and abuse coverage at stated limits, directors and officers, and a crime bond over any funds held
Banks, lenders & SBA loans Property or auto physical damage with the lender as loss payee, and liability proof at closing and every renewal

Each of them wants a certificate, and most want it again at every renewal. A live certificate link from the wallet shows today's coverage to every holder and tells them when it changes.

How to check what you already have

  1. Auto schedule. Every vehicle listed with the right garaging address and use; symbols that include hired and non-owned auto; physical damage with the lender as loss payee where the vehicle is financed.
  2. Hired and non-owned auto. Look for the symbols 8 and 9 or an endorsement by that name on the auto or general liability policy; without it, staff in their own cars are uninsured on company business.
  3. General liability declarations page. Three liability numbers matter: each occurrence, general aggregate and the products–completed operations aggregate. Then the forms list: blanket additional insured, waiver of subrogation and primary and non-contributory wording satisfy every contract; scheduled forms satisfy one.
  4. Motor truck cargo. The limit per vehicle, the commodities excluded, theft from an unattended vehicle conditions and reefer breakdown.
  5. Cyber declarations. The headline limit matters less than the sublimits: social engineering, funds-transfer fraud, ransomware and business interruption, plus the regulatory coverage and the panel of breach vendors.
  6. Workers' compensation information page. Item 3.A must list every state you work in, item 4 must carry the right class codes, and the employers' liability limits should meet what contracts ask. Check that the estimated payroll is close to this year's.
  7. Employment practices declarations. Limit and retention, third-party coverage for claims by customers, and whether wage-and-hour claims carry any defence sublimit.
  8. Pollution liability. Site-based or contractors form, claims-made or occurrence, the materials named (mold, asbestos, lead, fuels), and transport and disposal coverage.

What usually goes wrong for medical couriers

  • Drivers in personal cars with no hired and non-owned auto on the courier's policy.
  • A lost specimen or a temperature excursion, excluded as cargo nobody insured.
  • A personal auto policy on a truck with the company name on the door.
  • Employees using their own cars for deliveries or errands with no hired and non-owned coverage.
  • Reefer breakdown, theft and unattended-vehicle conditions in the cargo form that the dispatcher never saw.
  • Assuming the delivery platform's policy covers your own drivers; it covers theirs.

What underwriters will ask a medical courier

  • How drivers are engaged and insured, what is carried and under what temperature rules, and which business associate agreements are signed
  • Each vehicle, its garaging address, radius and who drives it
  • Driver list with licence states and dates of birth for motor vehicle records
  • Commodities hauled, their value per load and any refrigerated freight
  • Who delivers, in whose vehicles, and whether any third-party platform is used
  • Multi-factor authentication, backups and endpoint protection

Renewal timing

Audits at year end compare payroll, receipts and subcontractor costs with the estimate, so keep the wallet's size figures and the subcontractor certificates current. Start comparing sixty days before expiration, and ask for the limits the next contract will need rather than the ones the last one did.

Questions people actually ask

Our drivers use their own vehicles. What does the business need?

Hired and non-owned auto, because the driver's personal policy is primary and your business is the deep pocket in the claim. Health systems' vendor agreements usually require it at stated limits.

Is a ruined specimen or a lost delivery covered?

Under a cargo policy written for medical couriers, with temperature and chain-of-custody provisions; ordinary cargo forms exclude spoilage. Privacy obligations on records and labels bring cyber coverage into the same contract.

Can I keep my work truck on my personal auto policy?

Usually not once the truck is titled to the business, carries tools or a logo, or is driven by employees. Personal policies exclude business use beyond commuting, and a denied claim after an accident is an expensive way to find that out. The state auto minimums on the state pages are floors; contracts ask for more.

What does motor truck cargo not cover?

Read the exclusions: many forms exclude certain commodities, cap theft from an unattended vehicle, and pay spoilage only with a reefer breakdown endorsement. The policy explainer in the wallet lists the exclusions in plain English.

Do delivery platforms insure the orders my own staff deliver?

No. A platform's coverage follows its own drivers while they are on its app. Your employees in their own cars need hired and non-owned auto on your policy, and your own vehicles need commercial auto.
