The religious organization insurance checklist

QUICK ANSWER

Religious organizations usually carry general liability, commercial property and abuse & molestation. Houses of worship run services, children's programmes, schools, food pantries and vans, in buildings that are often the largest and oldest in the neighbourhood, under boards of volunteers and insurance written specifically for congregations. The lender and the permit office ask for proof of each. The checklist below says what every item does, who requires it and how to check it on the policies you already have.

Who asks a religious organization for what

Who What they usually want to see
Banks, lenders & SBA loans Property or auto physical damage with the lender as loss payee, and liability proof at closing and every renewal
Cities, counties & permits General liability, auto and workers' compensation at the limits in the permit or contract
Grant funders & government contracts General liability, professional and abuse coverage at stated limits, directors and officers, and a crime bond over any funds held

Each of them wants a certificate, and most want it again at every renewal. A live certificate link from the wallet shows today's coverage to every holder and tells them when it changes.

How to check what you already have

  1. General liability declarations page. Three liability numbers matter: each occurrence, general aggregate and the products–completed operations aggregate. Then the forms list: blanket additional insured, waiver of subrogation and primary and non-contributory wording satisfy every contract; scheduled forms satisfy one.
  2. Property section. Limits for building, business personal property and tenant improvements against replacement cost, the coinsurance percentage, the deductible, and whether flood and earthquake are excluded (they usually are).
  3. Abuse and molestation. A separate limit, not a sublimit of general liability; whether it is occurrence or claims-made; and whether the organisation and the individual are both covered.
  4. Directors and officers declarations. Entity coverage, employment practices if packaged, the retention, and the exclusions for prior and pending matters.
  5. Workers' compensation information page. Item 3.A must list every state you work in, item 4 must carry the right class codes, and the employers' liability limits should meet what contracts ask. Check that the estimated payroll is close to this year's.
  6. Auto schedule. Every vehicle listed with the right garaging address and use; symbols that include hired and non-owned auto; physical damage with the lender as loss payee where the vehicle is financed.
  7. Umbrella schedule of underlying insurance. Each primary policy listed with the limits the umbrella expects; a gap between the two is uninsured.
  8. Crime declarations. Employee theft, forgery, funds-transfer fraud and social engineering each have their own limit; third-party coverage if you work in clients' premises.
  9. Business owner's policy declarations. Liability limits on the first page, then the property section: building (if you own), business personal property, business income and the named extras such as spoilage, equipment breakdown or employee dishonesty. Confirm the property values are current.
  10. Business income. The limit or actual-loss-sustained wording, the waiting period, the period of restoration and whether extra expense is included.
  11. Professional liability declarations. Claims-made or occurrence, the retroactive date (it should not have moved), the limit per claim and aggregate, the deductible, and whether defence costs sit inside or outside the limit.
  12. Participant accident. The medical limit per injury, the deductible, whether it pays primary or excess of the family's health plan, and the activities covered.
  13. Special events coverage. Whether the annual policy already covers your events or each needs a separate policy, and the additional-insured wording venues ask for.
  14. Hired and non-owned auto. Look for the symbols 8 and 9 or an endorsement by that name on the auto or general liability policy; without it, staff in their own cars are uninsured on company business.
  15. Flood policy. Building and contents limits, the zone, the waiting period before coverage starts and whether the policy is federal or private.

What usually goes wrong for religious organizations

  • Children's and youth programmes with screening that lapsed between coordinators.
  • An historic building insured at a value that would not rebuild it.
  • Tenant improvements insured by nobody, because the lease says one thing and the policy another.
  • Property values set when the doors opened and never raised.
  • An abuse limit far below the general liability limit, buried as a sublimit.
  • Field trips in staff cars with no hired and non-owned auto.

What underwriters will ask a religious organization

  • Attendance and programmes, children's ministry screening, building values and age, vehicles, and governance
  • Square footage, whether you own or lease, the building's age and sprinklers
  • Replacement cost of the equipment, fixtures and stock on site
  • Licensed capacity, ages served and staff-to-child ratios
  • Background-check and two-adult policies, and whether you transport children
  • Number of volunteers, background checks and what they do

Renewal timing

Workers' compensation is audited on actual payroll and liability on sales, so a busy year ends with a bill unless the estimates were kept honest; pay-as-you-go billing through your payroll company removes most of that. Renewal autopilot starts the comparison sixty days out, prefilled from the wallet.

Questions people actually ask

What is specific about insuring a congregation?

Abuse coverage for children's and youth ministries, pastoral counselling liability, the building's replacement cost, vans used for programmes, and directors and officers for the board. Carriers that specialise in congregations write all of it in one package.

How should an old sanctuary be valued?

At the cost to rebuild it with today's labour and materials, which is usually far above its market value and what the congregation guesses. A replacement-cost appraisal every few years keeps the limit honest; the lender and the carrier both ask.

Doesn't my landlord's insurance cover my religious organization?

It covers the building. The lease almost always makes you responsible for your own improvements, equipment and stock, for injuries inside your space, and for naming the landlord as additional insured on your liability policy. Read the insurance clause; the contract checker in the wallet will pull it out for you.

Is abuse and molestation coverage included in general liability?

Rarely in a useful amount. Most general liability policies exclude it or allow a small sublimit; a religious organization needs a separate limit written for care, and licensing bodies and parents increasingly ask to see it on the certificate.

Are volunteers covered by workers' compensation?

In most of the licensed states, no, because they are not employees. A volunteer accident policy pays medical bills when one is hurt, and general liability with volunteers named as insureds covers what they do to others.
