Matching workers' compensation

QUICK ANSWER

Workers' compensation covers employees' medical bills and lost wages after a work injury, and it is required in most states once you have employees. Carriers rate it on payroll by class code, your state, and your claims experience. CoverMatch compares quotes on class assignments, employers' liability limits, billing method and audit terms — the parts that decide what you actually pay after the policy year — not just the deposit.

01 / WHAT UNDERWRITERS ASK
  • Payroll by job duty for the coming year, including owners you want covered
  • Your state, and any other states where employees work
  • Class codes — assigned from what each group of employees actually does
  • Experience modification factor, if your payroll is large enough to have one
  • Claims for the last three to five years, with loss runs
  • Subcontractors and whether they carry their own coverage
  • Safety programs, drug testing and return-to-work practices
02 / WHAT MOVES THE PRICE
  • Class codesRates differ many times over between office work and field work; correct assignment matters more than any discount.
  • PayrollThe rating base, estimated now and audited after the year.
  • Experience modificationA factor above or below 1.0 scales the whole premium based on your claims versus similar businesses.
  • StateRates and rules are set state by state; multi-state operations are rated per state.
  • Schedule credits and dividendsCarrier discretion for safety practices; some carriers return dividends after good years.
Direction only — the carriers' quotes carry the figures.
03 / HAVE READY
  • Payroll by employee or role for the last year and the coming year
  • Your current policy's information page and class codes
  • Loss runs for three to five years
  • Your experience modification worksheet, if you have one
  • Certificates from subcontractors

Why the comparison looks past the deposit

Two workers' compensation quotes with the same payroll can differ because one carrier assigned a cheaper class to part of your staff, applied a schedule credit, or offers pay-as-you-go billing. The cheapest deposit is not the cheapest year if the audit reclassifies people. CoverMatch shows class codes and rates per quote, the employers' liability limits, the billing method, the audit basis, and any dividend plan, so you compare the policy you will actually be charged for.

What the grid shows

Rows for each class code with the payroll and rate the carrier used; employers' liability limits (each accident, disease policy limit, disease each employee), which contracts often set at $1M; billing method; and whether the carrier audits by phone, mail or in person. Your current policy sits in the first column when it is in the wallet.

Classification is the whole game

Underwriters classify from your description of operations and the duties of each group. A cafe's counter staff, a contractor's estimator, a salon's receptionist — each belongs in a lower-rated code than the core trade when the duties are genuinely separate and the payroll records keep them separate. The application asks for duties for exactly this reason, and the comparison flags quotes that put everyone in one code.

Pay as you go through your payroll company

Workers' compensation does not have to start with a large deposit against an estimate. With pay-as-you-go, the carrier bills premium from each actual payroll run, reported by your payroll company, so cash flow follows your real wages and the year-end audit has much less to settle. CoverMatch works with most payroll companies to set this up. Tick pay as you go on your quote request and we ask every carrier that offers it to quote that way; the comparison marks which quotes include it, and your current billing method sits beside them if your policy is in the wallet.

Multi-state work

Employees who work in another state need that state covered on the policy. The application asks where work happens; quotes that omit a state you named are flagged.

After you buy

The policy appears in the wallet with its class codes, the audit reminder lands before the audit, and the live certificate shows the policy for general contractors and clients who require it.

Questions people actually ask

When do I legally need workers' compensation?

It depends on your state and headcount; many states require it from the first employee, some from three or more, and construction rules are often stricter. The state pages list each rule with its source.

What does pay-as-you-go billing change?

The premium is calculated from each actual payroll run instead of an annual estimate, which smooths cash flow, removes the large deposit and reduces audit surprises. CoverMatch works with most payroll companies to set it up; not every carrier offers it, so the comparison marks the quotes that do.

Can CoverMatch set up pay-as-you-go with my payroll company?

Usually, yes. We work with most payroll companies. Tick pay as you go on your quote request and we quote it that way with every carrier that offers it; after you buy, the carrier and your payroll provider exchange the payroll each pay run and you see the result in the wallet.

Why did my premium change after the policy ended?

Workers' compensation is audited. The final premium is based on actual payroll by class, so growth, overtime, misclassified staff or uninsured subcontractors all change the bill.

Do owners have to be covered?

Owners and officers can often include or exclude themselves depending on entity type and state. Including yourself adds payroll to the rating base; excluding yourself leaves your own injuries to health insurance.
